TeamTrack FAQ and WhatsApp Manual

TeamTrack is operated mainly from WhatsApp. This guide explains how to start, how to use the bot in groups, and what commands are available to owners and employees.

What TeamTrack does

TeamTrack is a WhatsApp bot for small teams and service groups. It can sit in a WhatsApp group, save accepted messages and files, and answer only when someone clearly asks it.

Right now TeamTrack has two services: Gardening and Workplace Management. Gardening helps with plant questions, plant lists, care notes, and reminders. Workplace Management helps with attendance, cashbook entries, and operational reports.

How to start after payment
  1. Enter your WhatsApp number, language, city, state, and service choices on this page.
  2. Complete the Razorpay payment.
  3. After payment, this page shows the TeamTrack bot number and your passcode.
  4. Send the passcode to the bot in one-to-one WhatsApp chat, for example #link TT-8K42P.
  5. Add the bot to the WhatsApp group where you want the service to work.
  6. In that group, the owner sends #activate gardening or #activate workplace.
  7. Ask group members to register their phone number with #phone 9019899294.

Only the subscription owner can use these commands.

Employee commands

Employees do not manage subscriptions or services. Their main command is phone registration inside an active group.

#phone 9019899294 Registers the employee phone number for that WhatsApp identity in the group.

If an employee asks for owner-only changes, TeamTrack will ask them to contact the group owner or buy their own subscription.

How to ask TeamTrack a question in a group

TeamTrack does not reply to every group message. It replies when it is clearly asked.

  • Start your message with @, for example @ what should I do for this plant?
  • Or mention TeamTrack, for example TeamTrack, show today's cashbook.
  • In a one-to-one owner chat, activate the service first with #activate gardening or #activate workplace.

The bot still saves accepted group messages for the active service, but it stays quiet unless asked or unless a confirmation is needed.

Gardening: what you can ask

Gardening answers plant and care questions in the language used in your question.

Adding or removing saved plants is owner-only. Employees can ask plant questions and report plant issues, but they cannot change the owner's saved plant list.

Workplace Management: what it includes

Workplace Management has three modules: Attendance, Cashbook, and Reports.

  • Attendance: employees send WhatsApp location. TeamTrack checks distance from the workplace location.
  • Cashbook: TeamTrack extracts useful income, expense, transfer, and planned payment details from group messages.
  • Reports: the owner selects three keywords, such as housekeeping, safari, inventory. TeamTrack separately tracks those topics plus other records.

The owner can change Workplace modules, keywords, attendance location, radius, and daily report status through WhatsApp or by asking for #settings workplace.

Payments, validity, and renewal

Each service has its own subscription validity. If you add Workplace after Gardening, both services can have different validity dates.

  • Use #subscription to see active services and validity dates.
  • Use #update monthly gardening or #update yearly workplace to get a Razorpay payment link.
  • After payment is captured, TeamTrack sends the owner a WhatsApp confirmation with amount and validity date.
  • If a service expires, employees cannot use service workflows until the owner renews.
Files and voice notes

TeamTrack accepts only selected file types in v1.

  • Images: JPG, PNG, GIF, WEBP.
  • Documents: TXT and CSV only, up to 10 MB.
  • Voice notes: up to 30 seconds.
  • Video, PDF, and JSON files are not accepted in v1.

Voice notes are transcribed before service workers receive them. Images may be described or used by the service when answering.

Language

During signup, choose your preferred language. Scheduled messages and reminders use the owner's preferred language. Normal question answers use the language of the question.

The owner can ask TeamTrack to change the preferred language later, for example:

@ make my preferred language Hindi Future reminders and saved scheduled messages should use Hindi.
Privacy and control

TeamTrack processes messages and accepted files in active groups for the activated service. Owners can request account information, download data, deactivate services, erase data, or delete the account through WhatsApp commands.

Any serious destructive action requires explicit confirmation. For reversible changes, the owner can ask TeamTrack to revert the latest reversible change.

Common problems
  • If the bot is silent, start your message with @ or mention TeamTrack.
  • If an employee is not recognized, ask them to send #phone <phone number> in the active group.
  • If activation fails, check that the owner has paid for that service and that the group is not already linked to another service.
  • If a Workplace setting is wrong, the owner can use #settings workplace or tell the bot the change in WhatsApp.
  • If payment has succeeded but the subscription does not update, contact TeamTrack support with the Razorpay payment id.
